JOB PURPOSE

The Finance Officer/Coordinator assists to fulfil the financial duties of the MSC Foundation, ensuring rigorous, timely and efficient adherence to the Foundation’s policies and procedures within the Governance framework.The Finance Officer/Coordinator will be responsible for the following main set of duties, under the supervision and guidance of the Secretary General:

•Ensure that the Foundation implements a robust internal control system to safeguard the resources available along with full compliance to legal and regulatory requirements.

•Foster value for money in the utilisation of Foundation’s resources.•Perform all financial reporting, budgeting, forecasting, and financial analysis as deemed necessary.

•Ensure day-to-day budget monitoring and control, and reporting of MSC Foundation’s financial performance.

•Conduct administrative activities related to the financial and accounting area.


KEY ACCOUNTABILITIES

•Accounting and Financial duties

•Create/apply financial plans with measurable targets and tracked performance.

•Implement a risk management framework and ensure proper mitigations and monitoring of the identified risks to minimise their impact on the operations of the Foundation.

•Develop and maintain financial systems.

•Forecast and monitor cashflow.

•Monitor budget performance, expenditure control and provide periodical financial analysis.

•Process and keep records of all Payment Requisitions (PR) and Request of Reimbursements (RoR) issued by each staff member and prepare the weekly Batch for the accounting team.

•Ensure proper accounting of donations and issuance of donors’ tax advantages, when applicable.

•Keep detailed records of all Foundation’s staff travels and travel expenses, liaising with Cisalpina and any other relevant supplier.

•Analyze administrative expenses, identify trends, good practices from the sector, and ways of cost optimization based on request of your line manager.

•Support on the preparation of the foundation’s annual budget.

•Prepare documents to Finance and Executive Committees and Board meetings, and reports and documents for the Secretary General review.

•Support senior management in timely reporting the expenses made through the corner card and with the personal credit card of money.

Other Responsibilities:

•Keep projects and donor’s records, staff and consultants’ contracts.

•Maintaining schedules and details of project financial transfers and other project related payments required and their due dates.

•Preparing and monitoring requests for transfers of funds to implementing Partners.

•To contribute to team effort by accomplishing related results as needed.


QUALIFICATIONS

•Fluent in English, excellent writing, and communication skills. Any other language is an advantage.

•Bachelor’s degree, with focus on administration and finance; project management will be a plus.

•At least 7-10 years of experience in administration, accounting, finance and/or business management, preferably in the non-profit sector.

•Working experience in non-profit environment.

•Good organisational and time management skills.

•Ability to research, digest, analyse and present material clearly and concisely.

•Expert user of IT tools, including Excel, PDF, Word, and PowerPoint

•Capable of autonomous audit procedures, with strong analytical and organizational skills.

•Excellent interpersonal skills.

•Honesty and Reliability.

•Attention to details.

•Able to work under pressure to meet tight deadlines

•Discretion and understanding of confidentiality issues.


VISA REQUIREMENTS

EU Passport or Right to work in Switzerland.
