About the Role
We are currently seeking a highly motivated, organized and resourceful Executive Assistant to support our senior leadership team and play a vital role in the success of launching our HQ in Switzerland. In this role, it’s important to be a proactive problem solver with exceptional communication skills and attention to detail. You will work with teams around the world to help propel the BEES business forward, and you’ll be surrounded by an exciting, buzzing team!
Key responsibilities:
- Become the right-hand support for our senior leadership team in Switzerland. You will own the management of leaders’ calendars, travel arrangements, and handle executive inquiries across geographies with efficiency and discretion.
- Be a pillar of the new office by assisting with setting up the office space, establishing operational procedures, and ensuring the smooth day-to-day running of the office.
- Provide administrative support by handling daily inquiries, travel bookings, visa-related requirements and expense reports.
- Keep everyone organized and informed by managing communication channels, driving prioritization, and preparing presentations and reports as needed.
- Anticipate needs of senior leadership and employees in the office, proactively solve problems, and be ready to tackle any challenge that arises.
- Partner with the People team on on-boarding and off-boarding activities for department members.
- Organize and prepare for meetings/events including gathering documents and attending to logistics of meetings (such as meals, office space, transportation, etc.).
- Manage expenses and submission of reports consistently in a timely manner, and in line with company policy guidelines.
- Learn about the local market, understand cultural nuances, and help navigate local resources and vendors.
Qualifications:
- Fluent German speaker
- 5+ or more years of administrative experience, preferably in a senior executive office environment.
- Proficient in managing multiple tasks simultaneously and delivering work with accuracy and efficiency.
- Strong communication / interpersonal skills and ability to build rapport with all levels of the organization, communicate effectively both verbally and in writing, and adapt your communication style to different audiences.
- Possess a resourceful and proactive approach to challenges, with the ability to navigate ambiguity and thrive in a fast-paced environment.
- Practice discretion and confidentiality. Be trusted to handle sensitive information with the utmost discretion and professionalism.
- Proficient in using common office applications and software such as MS Office.
- Ability to work independently, set priorities and coordinate multiple projects.
- Effectively and efficiently prioritize multiple tasks along with working well under pressure and tight time frames.
- Experience standing up a new office location is a plus!
